Privacy Policy

This policy covers two surfaces: the AI Calendar Buddy app on Apple platforms, and the aicalendarbuddy.com website (including the beta waitlist). They are treated separately because they have different data practices.

AI Calendar Buddy (App)

Data we collect

Your content: never. The app does not send your tasks, projects, calendar events, or AI prompts to any server we operate. We have no app-level account, no login, and no developer-side database of user content. We do not collect advertising identifiers, location, or contacts.

Anonymous usage analytics: yes, and here is exactly what that means. The app sends anonymous product analytics (via PostHog, processed in the United States) so we can see which features are used and where the app fails. These events are counts, durations, and yes/no flags — for example “a task was created,” “an auto-schedule run placed 4 of 5 tasks,” or “a purchase failed.” They are tied to a random anonymous identifier, never to your name, email, or Apple Account. They never include the content of your tasks, project names, calendar events, or anything you type. We do not use analytics for advertising, we do not track you across other apps or websites, and we do not sell this data.

Where your data lives

  • Your device. Tasks, projects, and scheduled blocks are stored locally in the app’s sandbox.
  • Your iCloud account (CloudKit). If you are signed in to iCloud, your data is synced between your own Apple devices through Apple’s CloudKit service. The data lives in your iCloud account, not in any database we control, and we cannot read it.
  • Local-only fallback. If you are not signed in to iCloud, the app continues to work fully on a single device using local storage only. You will not have cross-device sync.

Apple Intelligence (on-device AI)

AI features — including natural-language ticket entry and auto-scheduling assistance — run on-device through Apple’s Foundation Models Framework (Apple Intelligence). Your prompts and the resulting tickets are processed on your device. We do not send your content to OpenAI, Anthropic, Google, or any other AI provider, and we do not run our own AI servers for these features.

On-device AI requires a device that supports Apple Intelligence (iPhone 15 Pro or later, or an Apple Silicon Mac). On unsupported devices, AI features are disabled; the rest of the app works normally.

Calendar access (EventKit)

With your explicit permission, the app reads from and writes to your local calendar database via Apple’s EventKit framework. This is so we can show your existing events alongside scheduled work and place auto-scheduled blocks on your calendar. EventKit data does not leave your device except via your own iCloud sync (which Apple operates, not us). Calendar permission is optional — the app works without it, but it cannot show your existing events or write blocks back to your calendar.

Push notifications

The app registers for Apple push notifications so that CloudKit can deliver real-time sync updates between your devices. The push token is held by Apple. We do not send our own push notifications and do not use the token for marketing or analytics.

In-app purchases (Pro)

The optional Pro subscription is purchased through Apple’s In-App Purchase system. Apple processes the payment; we never see or store your name, payment card, billing address, or any other payment details. The app checks your subscription status locally through Apple’s StoreKit framework. Subscriptions are managed and cancelled through your Apple Account settings, and refund requests are handled by Apple.

What the app does not do

  • No identified analytics — usage analytics are anonymous and content-free (see “Data we collect” above)
  • No advertising SDKs and no ad networks
  • No tracking across apps or websites
  • No data sold to third parties — ever

aicalendarbuddy.com (Website)

What we collect (waitlist)

When you sign up for the AI Calendar Buddy beta waitlist on this website, we collect the following information so we can contact you about beta access:

  • Your name
  • Your email address
  • Your selected interests (why you’re interested in AI Calendar Buddy)
  • Optional feature requests you submit

How we use it

  • Notify you when beta access is available
  • Understand what features matter most to our potential users
  • Send occasional updates about AI Calendar Buddy

Website analytics (PostHog)

This website — and only this website — uses PostHog for product analytics. This is separate from the app’s anonymous analytics described above. Through PostHog on the website we collect:

  • Pages you visit, how you arrived (referrer), and how you interact with the site (clicks, scrolling, form submission events)
  • Device and browser information (browser type, operating system, screen size, coarse location derived from your IP address)
  • Session replays of website visits — text you type into the waitlist form (name, email, feature requests) is masked and not captured in replays
  • Which variant of a page you saw, when we A/B test copy or layout
  • Error reports if something on the site breaks

We use this data to understand how the website performs and to improve it. PostHog processes this data on our behalf and uses cookies/local storage to recognize repeat visits. We do not use website analytics for advertising, and we do not sell this data.

What we don’t do with waitlist data

  • We never sell your data to third parties
  • We never share your information with advertisers
  • We never use your data for purposes other than those described above

Your Choices

You can remove your data from the app at any time by deleting tasks and projects in-app, or by uninstalling the app and (optionally) clearing AI Calendar Buddy data from your iCloud settings. To be removed from the waitlist, email us at the address below.

Changes to this policy

If we change how data is handled, we will update this page and adjust the “Last updated” date above. Material changes that affect the App Privacy nutrition label will also be reflected in App Store Connect at the next submission.
